- Account Information: Name, email address, phone number, mailing address, and login credentials provided when an administrator creates or you register your account.
- Project and Service Information: Property addresses, project descriptions, service types, contract values, schedules, progress updates, photos, documents, change requests, and related communications.
- Financial Information: Invoices, estimates, payments, deposits, balances, and transaction history. We do not store complete credit card or bank account numbers in the Portal.
- QuickBooks Data: With your authorization, we may access customer records, invoices, estimates, payments, and company financial totals from Intuit QuickBooks Online to synchronize data with the Portal.
- Device and Usage Information: IP address, browser type, device identifiers, pages viewed, and timestamps, collected automatically through standard server logs and analytics tools.
3. How We Use Your Information
We use personal information to:
- Provide, operate, and maintain the Portal and related services.
- Communicate with you about projects, estimates, invoices, payments, and support requests.
- Process and record payments, deposits, and account balances.
- Synchronize financial and project data with QuickBooks Online.
- Manage JW Quality Club points, referrals, redemptions, and membership level progress.
- Improve the Portal, monitor usage, and detect fraud or security incidents.
- Comply with legal obligations and enforce our agreements.
4. QuickBooks Integration and Data Sharing
The Portal integrates with Intuit QuickBooks Online to keep financial records consistent. When you or an authorized administrator links a portal account to a QuickBooks customer record, we exchange customer, invoice, estimate, payment, and company financial data as needed for synchronization.
Individual client financial data is synchronized only when a registered portal client is properly linked to the corresponding QuickBooks customer record. Company-wide financial totals are synchronized for internal administrative reporting and may include aggregated data that is not tied to a specific registered portal client.

5. Information Sharing and Disclosure
We do not sell personal information. We may disclose personal information:
- To our service providers who perform functions on our behalf, such as hosting, authentication, and email delivery.
- To Intuit QuickBooks Online as described in Section 4.
- To comply with legal process, respond to government requests, or protect our rights and safety.
- In connection with a business transfer, merger, or sale of assets, subject to confidentiality obligations.
6. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect personal information from unauthorized access, use, alteration, or destruction. These include encrypted connections, access controls, Row Level Security on database tables, and audit logging for sensitive actions such as QuickBooks linking and unlinking.
No method of transmission over the Internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.
7. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, provide services to you, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we securely delete or anonymize it.
